Privacy statement

This privacy statement explains what personal data Synergo hr collects from you through our interaction with you and through our services, and how we use that data. Synergo hr offers a wide range of services ranging from recruitment, selection, employee surveys (potential assessment, 360° feedback, satisfaction surveys) to coaching. This statement relates to the communication between you as a candidate or participant and Synergo hr through the services you use.


Collection of personal data


We collect, use, consult, and process personal data in both digital and partially paper files. This is done with the aim of advising and guiding our client (a specific employer) so that employees, managers, and directors can grow and further develop within the company. Depending on the requested service, we collect different types of information. For recruitment and selection, for example, we record the CV, test results (cognitive, personality, skills), and the assessed motivation and work interests. In potential assessments, 360° feedback, and satisfaction surveys, we collect data on competencies, attitudes, and perceptions. During coaching, we broadly track what is important for your personal functioning at work.

Access to personal data


You have the right at any time to request orally what personal information we have collected about you. If we wish to share your data with a (potential) employer, we will first ask for your consent. We explicitly ask whether we may process and share your data with third parties. At your request, we can also refrain from passing on your data or remove it from our records. We only provide data to employers who declare in writing that they will use this information solely in the context of the application process and will keep it confidential. They must also delete the information when it is no longer relevant.

Accuracy of data


The data is provided directly and in writing by you to us, both digitally and via forms. If you apply, we verify your data orally through an in-depth interview. In written staff surveys, the information is also verified through interviews, either with everyone or on a sample basis. Incomplete or inaccurate data will be supplemented and corrected as best as possible.

Integrity and confidentiality


The registration of personal data takes place in a digital management system, secured with an encrypted connection in the cloud, which is only accessible to users with a password. Paper files are securely stored in a locked cabinet. Written reports explicitly state that the data is strictly confidential and that the validity period is a maximum of one year.

Specific purpose


Personal data is used solely for the purpose for which we have entered into a written agreement with you, or for another compatible purpose, ensuring strict anonymity. If it is necessary to use the data for another, incompatible purpose, we will first seek your explicit consent. Both anonymous and non-anonymous data will only be discussed with involved parties after prior consent from the participants.

Minimal data processing


We only record data that is relevant to the objectives and that contributes to an efficient follow-up of the process. This includes information about who has registered, the status of the application, and who is receiving which guidance, as well as data that helps to better align the next steps in a process, such as advisory reports and evaluations.

Limited retention period


Paper files are immediately deleted when they are no longer needed. Digital files are accessible for a maximum of 10 years, in accordance with the settings of the software used.
